Role Mission: The School Launch Project Manager supports the Director of School Launch and the Operations leadership team with implementation and coordination of critical projects, initiatives, logistics, and data analysis. They manage the School Launch team's core operating mechanisms, supports the maintenance of strong team financial health, creates and maintains organization-wide systems that enable launching campus staff, regional leaders, and a cross-functional group of national leaders-Operations, Human Assets, Academic Services, Growth, etc.-to work efficiently and communicate openly, and organizes key events and professional development sessions. They also lead priority projects-such as the creation of Beginning of Year (BOY) readiness scorecard, metric, plans, training, an owning the BOY Hub site-and own the team's progress monitoring, data analysis, and knowledge management efforts in coordination with cross-functional leaders. The School Launch Project Manager is crucial to ensuring the BOY experience is organized, effective, and creates long-lasting value for internal and external stakeholders, as well as students and families. The initiatives that they will oversee will enable the Director of School Launch to leverage the institutionalized systems and processes created to drive change management regarding every BOY season and the launch of new schools and regions.



Accountabilities:


Average Score on the APO BOY Scorecard for All APOs (Launching and Existing Schools) is at Least 90%

• Serve as point person for launching campus Wrike content improvements needed year-over-year
• Responsible for the extensive manual process of replicating Wrike plans to each campus, fixing errors on each campus plan and creating regional variations
• Provide Wrike training and problem-solving up and above Roadmap material for users
• Use Wrike to manage and monitor projects, use as an accountability tool, and establish trends in data
• Use data in Wrike to partner with IT Project Manager to make necessary changes and with the Rhodes team and Regional Directors of Operations to identify gaps and solutions
• Work in the field to support APOs and campuses

  • Build accountability amongst the cross-functional team involved in BOY on metrics and committee next steps and execution
  • Increase the visibility and status of all projects for both internal and external partners by tracking and monitoring projects
  • Support in attendance, note-taking, and communication during cross-functional project meetings
  • Track campus New Family Onboarding implementation and outcomes, providing data and problem-solving for campuses and district roll-up with a focus on launching campuses and regions
  • Search for, provide data on, and record examples and non-examples of strong family and student experience leading up to and during BOY
  • Publish examples in an organized, accessible manner on IDEA's Hub Site
  • Conduct empathy interviews and focus groups with families and students who applied to launching schools to identify needs beforehand and feedback after BOY processes are executed

    • Establish, manage, and follow up on clear and consistent tracking mechanisms for enrollment data across Rhodes, MCE, and campus-based launching staff
    • Determine quantitative and qualitative trends in data to inform analysis
    • Coordinate clear communication between MCE team and launching APOs on marketing resources, timelines, and next steps
    • Consult with functional team leaders and the Rhodes leadership team to determine the timeline and scope of launching staff professional development, deadlines for different projects, and then project manage and track them to completion
    • Ensure enrollment resources are delivered on time to launching regions and campuses
    • Partner with MCE team to ensure templates are up-to-date and easily customizable

      • Serve as the main customer service representative to launching operations staff to build organized approach across IDEA systems, processes and materials needed for BOY
      • Partner with Director of School Operations Talent to lead technical coordination of all launching ops staff role-specific training scope and sequence, including attendance taking, invites, organizing materials, and follow up needed, including that of late hires
        Lead Beginning of Year Data and Optimize Knowledge Management
        
        • Coordinate dashboard
        • Track goal attainment across teams and campuses
        • Author and codify team practices
        • Ensure all School Launch Hub sites are up-to-date
        • Develop the most appropriate metrics for BOY, how to measure and operationalize them, which business partners to get the data from, and how to track them so that we are measuring the best data that will drive success in launching schools
        • Determine the key metrics for the BOY scorecard and create training for APOs to use the BOY scorecard
        • Institutionalize processes (running Wrike system, training and accountability follow-ups, business partner meetings, etc.) so that future years will have iterative processes rather than recreating each year
          Manage the School Launch Team's Operating Mechanisms, Logistics, Budget, and Meet 100% Compliance with Business Office Requirements and Policies
          
          • Manage operating calendar for School Launch team and launching campus team events
          • Drive agenda and logistics for weekly tactical meetings and strategy meetings
          • Coordinate with the Director of Rhodes Fellowship and various department leaders to prepare high-quality professional development for launching staff members
          • Partner with Events Manager to logistically organize at least one Super Recruitment Day per new campus
          • Serve as "connective tissue" between all project teams identifying trends heard/observed within various launch and project team meetings and following up on all action items
          • Maintain project status within master project plans
          • May include logistics support such as venue booking and/or catering for meetings
          • Work with the IDEA Business Office when necessary to relay important information
          • Coordinate annual team budget building process
          • Ensure team leader understands and follows procurement compliance
          • Accurately submit and reconcile per diem, travel, business expenses, and corporate card charges in Concur
          • Work with internal business office procedures to facilitate timely payments
          • Monitor and provide monthly reports on travel-related expenses

              Qualifications:
              
              • Education: Bachelor's Degree or equivalent
              • Experience: 2+ years of experience in project management
              • Travel: Must be willing to travel on average 30% of the time (across the network)

                  Compensation
                  Salaries for this role typically fall between $57,141 and $68,569 commensurate with relevant experience and qualifications. This role is also eligible for a performance bonus based on individual and organizational performance and goal attainment.
